Balmoral Tanks Ltd is a leading European engineering design and manufacturing company. As a result of significant investment in people and plant, the company produces what is believed to be the most comprehensive range of tank products available for a single source in the EU.

The Company is looking for a PA to the Managing Director to cover maternity leave.

 

Main Duties

The PA is responsible for supporting the managing director and other senior staff in regards to a range of administration tasks. These include but are not limited to; answering telephone calls, maintaining diaries, arranging appointments, taking messages, filing, typing minutes & booking transport and accommodation where appropriate. Discretion and confidentiality are fundamental prerequisites of the role. Flexible & adaptable, with an ability to work using your own initiative will also be critical for the successful incumbent.

Working closely with the corporate management team, the PA will go about their role displaying high levels of initiative, drive & enthusiasm; and expected to act as an ambassador & role model for our business.

  • Data management & filing for the managing director.

  • Diary management.

  • Screening emails, calls, enquiries and requests, and handling them appropriately.

  • Where appropriate, meet & greet all visitors to the facility, ensuring they are aware of our H&S procedures for visitors.

  • Organise and attend the monthly senior management meeting, ensuring minutes are taken and distributed appropriately. Ensure the managing director is well prepared for this and all other meetings.

  • Where required, liaise with clients, staff and suppliers on behalf of the senior management team.

  • Manage the diary for the Llantrisant conference & training rooms. Ensure all meetings, delegates and subject matter are recorded. Provide a monthly summary of utilisation to the managing director.

  • Arrange travel & accommodation for the senior management team.

Qualifications

Required:           

  • Minimum HND or Level 3 VQ in an administration/secretarial related discipline.

 

Experience

  • Minimum of three years experience of working as a PA, in a service or manufacturing business.

 

Skills and Abilities

Required:

  • Excellent inter-personal skills.

  • First class planning & organisational skills.

  • Good presentation, written and oral communication skills.

  • Mature and customer focused (able to handle difficult discussions and customer complaints)

  • A belief in the fact that customers are revenue and everything else is an overhead.
