Balmoral Offshore Engineering, a division of Balmoral Group, provides surface and subsurface buoyancy, insulation and elastomer products and services to the global energy, defence, subsea communications and oceanographic industries.

We are looking for a Part Time QHSE Administrator (Maternity Cover, approx. 5 hours per day) to be responsible for assisting in the implementation and maintenance of the company’s Integrated Management systems, including Health & Safety, Environmental and Quality policies and procedures.  The QHSE Administrator is also responsible for collating documentation, compiling QHSE reports, and filing of documentation both electronically and in hard copy format and undertaking other administration tasks as required.

Main Duties

  • Promote the Balmoral Group core values and actively promote the principles of Right First Time.

  • Use and comply with the Balmoral systems, processes and tools - challenge and improve our management systems, processes and tools.

  • Encourage collaboration and sharing across the organisation – communicate information, seek feedback and act accordingly.

  • Actively promote and encourage continual improvement- seek best practice and identify improvements from within and externally.

  • Maintain the Balmoral Comtec Integrated Management System (IMS) - provide IMS guidance, support and training as appropriate, ensuring changes are effectively managed and communicated throughout the business.

  • Ensure all QHSE related documentation/ certification is reviewed, approved and suitably filed. Expedite missing/incorrect certification as required.

  • Deliver the timely and accurate compilation of production documentation registers and associated certification as per Project requirements for inclusion within the Manufacturing Record Books (MRB).

  • Support the on-going maintenance and development of the AVL -assist in the evaluation and review suppliers and/or contractors as applicable including admin of Contractor RAMS review and associated information.

  • Maintain calibration systems ensuring all monitoring and measuring equipmentdevices are calibrated and maintained and provide guidance and support to the business as appropriate – arrange for repair/rework (recalibration) as appropriate.

  • Liaise with key stakeholders to ensure monitoring and measurement devices are calibrated and maintained - ensure changes are effectively managed and communicated.

  • Ensure all COSHH information including COSHH Risk Assessments and MSDS are up to date and changes are communicated as appropriate

  • Collect, review, analyse and report SIFIRI cards and prepares SIFIRI information for communication e.g. SIFIRI stats/ posters.

  • Ensure Emergency Response information is up to date including updates to ER folders, Incident Investigation packs, perform weekly inspections of First Aid room replenish/ replace stock First Aid provisions as appropriate

  • Participate within the Balmoral Comtec internal audits activities-including Advanced Safety Audits in order verify compliance to defined ways of working, systems, processes, and applicable legislation.

  • Support the coordination of third party certification activities - liaise with third party audit resources as appropriate.

  • Prepare regular analysis and reports of leading and lagging QHSE performance in support of QHSE management review.

  • Provide general administrative support to the QHSE department.

  • Establish and maintain open lines of communication to ensure objectives are met - develop good working relationships.

     

    Qualifications & Training

    Desirable:

  • IRCA Internal Auditor Trained.

  • NEBOSH General Certificate.

     

    Experience

    Required:

  • Relevant previous experience in document administration.

  • Relevant previous experience in data inputting/handling.

    Desirable:

  • Relevant previous experience in manufacturing organisation.

  • Experience of QHSE management system models i.e. ISO9001, OHSAS 18001, HSG65

  • Knowledge of UK health and safety legislative requirements.

     

    Skills

    Required:

  • Proficient in the use of the latest version of Microsoft Office.

  • IT skilled with data input / handling experience and working with databases.

  • Clear and effective communication skills, both written and oral.

  • Pleasant and articulate manner –works well independently and as part of a team.

  • Organised, analytical and systematic with an enthusiastic approach to problem solving.

  • Self-motivated and able to work under pressure and prioritise workloads.

  • Good organisational, literacy and numeracy skills.

  • Attention to detail - manages and records deliverables with a high level of accuracy.
